How to Evaluate a Vendor Quote

When a vendor presents a pricing proposal, ask these five questions before accepting the numbers.

1. Is telephony included or separate? Many quotes exclude PSTN and SIP costs entirely.

2. What is the per-minute AI processing rate at my expected volume? Get this in writing, not as a bundled blended rate.

3. How is the escalation path to human agents priced? If it is not in the quote, it will be in a change request.

4. What does ongoing model maintenance cost? Ask for a 12-month total cost of ownership, not just implementation.

5. Where does my data reside and how is FCA compliance handled? If the answer requires a separate compliance add-on, that cost belongs in the comparison.


The Build vs Buy Question in 2026

The honest answer is that the build-versus-buy framing is outdated. The real question is whether you are deploying on a proprietary platform with opaque pricing and vendor lock-in, or building on open, enterprise-grade cloud infrastructure that you control.
